Position Overview:

Major Duties & Responsibilities:

  1. Document Indexing & Filing: Review incoming documents (electronic and hard copy), categorize them using established taxonomy, and upload to secure document management systems such as SharePoint or DocuWare.
  2. Metadata Tagging: Apply accurate metadata tags (dates, client IDs, document types) to facilitate advanced search capabilities; coordinate with IT to update tagging protocols as needed.
  3. Quality Assurance Audits: Perform weekly spot checks of random document samples, identify misfiled or mislabeled items, and implement corrective actions to maintain 99.9% accuracy.
  4. Retention & Disposal Management: Track document lifecycles against retention schedules; prepare items for secure destruction or archival transfer in compliance with legal and regulatory standards (e.g., SOX, HIPAA).
  5. User Support & Training: Assist internal stakeholders with document retrieval requests; create concise how to guides and host brief virtual workshops on best practices.
  6. Continuous Improvement Initiatives: Suggest process enhancements, such as automating repetitive tasks via macros or leveraging OCR tools to convert scanned images into editable text.

Candidate Profile & Qualifications:

  • High school diploma required; associates degree or coursework in library science, business, or IT a plus.
  • Minimum of 1 year in a records management, administrative, or clerical role remote experience strongly preferred.
  • Proficiency in document management software (e.g., MFiles, DocuWare) and MS Office.
  • Exceptional organizational skills with an eagle-eye for detail.

  • Understanding of basic regulatory frameworks related to data privacy and retention.
  • Strong critical thinking and comfortable troubleshooting document workflow issues independently.
